Sharing our organisational policies.

This is an offering. 

Many youth (and other!) organisations do not have resources for organisational strengthening and due diligence. It is rare for youth groups, especially those in their formative stage, to find organisational development support. Purpose driven groups come together, driven by passion to work on ground. We often do not realise the need, or have the resource and capacity to develop policies when starting out. This became clearer to us as we grew and scaled up our work.

Having policies that match legal and technical standards and clear guidelines and systems serves various critical functions. It enables team clarity and cohesive functioning. It guides decision making with accountability, especially in times of crisis. This is also often a requirement for funding and collaborations. While often ignored, this unsexy, back room part of running an organisation is what enables sustainability and scale for the work being done on ground.   

But we also recognise why it is deprioritised. It was difficult for us to dedicate resources to policy strengthening and creating in our formative stage. Generous professionals, partner organisations and colleagues in the sector offered us their time and effort to create and strengthen our policies and systems when we needed it. Over time, we were able to dedicate resources, and have senior professionals ensure our policies met all required standards and that our team members and participants understood not just our systems but also why they are important. This offering is our way to pay it forward. 

Over the years, we have received many requests from other organisations, to share some of these policies. We have been happy to help and support youth organisations to become more policy aware and compliant. As an old youth organisation (Two decades of work and counting!), the least we can do is offer drafts of our key policies for those who may need to build or strengthen their own. These have been created and reviewed by legal and finance professionals to match national and international nehmarks. They have served well to guide our functioning, decision making and management. In case you use these drafts to create your own policies, we request that you acknowledge us with the line “adapted from The YP Foundation’s (theypfoundation.org) policy” if possible. We acknowledge the work and efforts of all those who have helped develop our policies by generously sharing their expertise, time and documents. We hope this is useful to others. We are happy to receive feedback on any of these documents or support to create any systems that you feel might be missing.
